Program Registration Step by Step

Program Event Registration Form

  1. Review Registration Procedures and Terminology.
  2. Select your program or event from the Pathways Guide.
  3. Check the draw and close dates for event.
  4. Complete all information on Program Event Registration Form
  5. Enclose payment for deposit or fees with the registration form and then:
    • Mail it, with payment for deposits or fees, to:

    • Fax it, with credit card information for applicable fees, to 210-349-2666
    • Drop it off at the Sally Cheever Girl Scout Leadership Center:

    • Registrations cannot be taken over the Internet or phone.



Registration Procedures and Terminology

Program Limits:

Each program has a limited number of spaces. When the limit has been reached, the remaining registrations will be placed on a waiting list. You will be notified by mail if this occurs.

Confirmation:

A confirmation packet stating your balance due or waiting list postcard will be sent immediately after the Draw. Confirmation packets will be sent approximately one week prior to the program and will contain additional important information to prepare you for the program.

Deposits/Fees:

A non-refundable deposit of 25 percent must be submitted with each registration that requires a fee of $10 or more. Programs with a fee of $10 or less per person must enclose full payment with registration. Registrants on a waiting list will receive a full refund (including deposit) after the program has taken place. If you are on the waiting list and cancel your registration, you may receive a full refund prior to the program if you cancel at least two weeks before; otherwise, you will receive a full refund after the program occurs. Please call 210.349.2404 ext. 239 for refund matters. Please remember that deposits are not refunded if an individual or troop chooses not to attend.

Payments:

Payments must be in the Program Registration Office by the BALANCE DUE DATE. If you are confirmed for a program and we do not receive your balance due by the end of business day on the balance due date, your name will be removed and your space will be filled from the waiting list.

Scholarships:

Scholarships are available for some programs (see program descriptions). The Scholarship Application should be completed by the parent/guardian or troop leader and should be attached to the registration form. Girls are eligible for two scholarships per year. Scholarship application: English or Spanish

Cookie Credits:

Cookie credits can be applied only to girls registration fees for council-sponsored program events. Please note cookie credit amount and card number on Program Event Registration Form.

Cancellations:

Cancellations made within two weeks of the event will not be refundable due to expenses incurred. No-shows are non-refundable. An event may be cancelled due to conditions affecting the desired outcome of the event, i.e., severe weather, etc. Participants will be notified of the cancellation. An alternate date may be offered or full fee refunded. NO REFUND WILL BE ISSUED IF EVENT IS NOT OFFICIALLY CANCELLED AND INDIVIDUAL OR TROOP/GROUP CHOOSES NOT TO ATTEND ON DAY OF EVENT. If you make a cancellation for part of your troop, the deposit for cancelled spots will not apply to your balance due.

Refunds:

To request a refund due to unexpected illness or extenuating circumstances, please submit a written statement with documentation to GSSWT, Attn: Program Registration. Deposits are non-refundable.

Badges/Patches:

To receive badges/patches (if offered in a program) girls must complete and attend the entire program. Payment does not guarantee receipt of badge/patch.

Severe Weather:

In the event of severe weather, please call the leadership center at 210-349-2404/1-800-580-7247. Voice mail will be available 24 hours a day with notification of program cancellation or postponement.

Note:

Please do not show up at programs that you are not registered to attend. Limits are set for specific reasonsplease do not bring Tag-A-Longs if program description states No Tag-A-Longs. Please be courteous!

What is a Tag-A-Long?

Any extra participant (i.e., sibling) you may want to bring to an event who is not designated age level; an extra adult who does not meet but exceeds the adult/girl ratio; or anyone not registered. Most programs do not have insurance to cover tag-a-longs.

Behavior:

Inappropriate behavior on the part of any participant (girl or adult) at an event is unacceptable and participant may be asked to leave the event without a refund.
