Health History, Other Forms Via CampDoc.com

To collect health history and medical care information, Girl Scouts of Southwest Texas partners with CampDoc.com, a secure, encrypted, and password-protected electronic health record system for camps. We also send other documents through the site, including release form(s), a medication form, camper profile, information about check out and check in, and a packing list. You will receive a welcome email from CampDoc with these forms and information on how to complete your camper’s health information within a week or two from your camp registration. Please set register@campdoc.com as a ‘safe sender’ in your email system to avoid accidental delivery to junk/spam folders.

Health information is required for all campers*, regardless of session, and must be completed on CampDoc two (2) weeks prior to your camper’s session.

*If your camper will be attending more than one session, you only need to complete CampDoc requirements one time.

Registration Process

Online registration opens every spring. Registration for summer 2023 opens at noon February 15. You can register at www.girlscouts-swtx.org/camp

Each week for Camp La Jita has multiple sessions based on Girl Scout grade level and activities. The week appears as one event in myGS.

Once you select that week/event, click the Register Now button. You will see all of the week's sessions listed.

The total number of available girl spots available for the entire week is listed at the top right of the page. The total number of available girl spots for each session is listed with the session. 

Camp Deposits and Fees

All Camp La Jita sessions require a $50 deposit upon registration. These are non-transferable and non-refundable. 

Camp Balances

All camp balances need to be paid in full at least two weeks before the first day of your camper’s camp session.

Financial Assistance

We want every girl to have the opportunity to experience camp. We work to provide financial assistance for campers who need it. Assistance for Camp La Jita is available on a case-by-case basis and is limited to one camp session per season. You can request assistance by completing the following form:

The deadline for requesting assistance is for summer 2023 camp sessions is Tuesday, April 5, 2023.

Additional Information:

  • A camper must be registered for a session before they can receive assistance.
  • The camp deposit of $50 for the camp session must still be paid at registration.  
  • Assistance might not cover 100% of the camp fee. Balance will be owed by family after deposit and financial assistance is awarded and must be paid in full 2 weeks before the first day of camp session.
  • The camper must have a current Girl Scout membership (2023).

Refund Policy and Information

Refunds generally take seven (7) to 15 business days to process.

If a cancelation is made by the customer no later than three weeks prior to the first day of the camp session, the customer will receive a refund minus the deposit fee.

Exceptions: If a camp session is cancelled by the council for any reason, a full refund will be given. If a camper does not pass the physical examination or an unexpected illness occurs prior to the camp session start date, you may request a refund and the account will be determined on a case-by-case basis.

No refunds will be given for campers who are no-shows or who leave a session early due to an illness, homesickness, misbehavior, or parental/caregiver request.

Request a Refund

To initiate a request for a refund, contact our Customer Care Department at customercare@girlscouts-swtx.org. Include your camper’s name, camp session, date of camp session, and specific reason for requesting a refund.

What Not to Bring to Camp

The following items are not permitted at camp:

  • Phones, iPads, computers, or other electronic devices. Phones will be placed in a secure location in the camp director’s office.
  • Food, gum, candy, snacks.
  • Halter tops, tube tops, or any clothing or equipment advertising inappropriate material.
  • Pocketknives or other weapons.
  • Any items that would cause distress if lost or damaged. No expensive jewelry or keepsakes. We are not responsible for any losses or damages.
Transportation, Check-In, and Check-Out

Transportation is not provided to Camp La Jita. 

For summer 2023, Girl Scouts of Southwest Texas will continue contactless drop-off and pick-up for campers. No exceptions will be made. Parents/caregivers must remain in their vehicles. 

Check-In

  • Camp PAs/CITs ONLY: Sunday, 1 p.m.
  • Campers: Sundays, between 3-4 p.m.

Check-Out

  • Fridays, between 3-4 p.m.

The camp gates will be locked until arrival and departure times.

Cookie Credits for Camp

Cookie Credits earned through the Girl Scout Cookie Program can be used to pay for Girl Scout camp registration. (They cannot be used at the Camp Trading Post.) Girls who sell 1,200 or more packages of cookies earn a free week at Camp La Jita or Camp Metro.

The Product Program Department will reach out after the end of the cookie season to girls who qualify for a free week at camp with further instructions on redeeming the reward. For more information, please contact our Customer Care Department at customercare@girlscouts-swtx.org.  

Camp Trading Post

Camp La Jita has a Trading Post that campers can visit and purchase items such as water bottles, hats, and T-shirts, as well as fun items including plushies, games, patches, and small keepsakes. Nothing in the Trading Post has sales tax attached, and the prices are typically $15 or less.

The Trading Post is not open Sundays or Friday afternoons.

Camp Care Packages

The Girl Scout Shop offers a build-your-own care package option so you can send your camper a little love during their exciting week at Camp La Jita! Orders for care packages will be open until three weeks prior to your camper’s session, and they will be delivered to them by trading post staff on the designated day.

Snail Mail for Campers

Campers love cheerful letters from home. You should mail cards/letters before your camper leaves for camp to ensure they arrive while she is there (no care packages with food!).

Send your camper with stationery, pre-addressed envelopes, and stamps, and we will help them get letters home in the mail.

Camp Mailbox

Save a stamp and bring your mail to camp with you on check-in day. You can drop off mail for your camper and we will do the delivery. Be sure to have your camper’s name and session on the envelope(s) and what day(s) you want it delivered.

NOTE: Mail will not be accepted if name and session is not on the envelope.

Lost and Found

Camp La Jita is not responsible for personal belongings left at camp. All lost and found items will be housed at the West Side Girl Scout Leadership Center. All unclaimed items will be donated to charity on August 31, 2023.

What’s a typical day like at Camp La Jita?

A typical day at Camp La Jita looks like:

  • Morning wake-up
  • Flag ceremony and breakfast

  • Evening activity

What to Expect

  • Girls are divided into small units upon arrival, and each one is continually supervised by adult counselors who sleep in separate units.
  • There is not air-conditioning in all cabins, and most do not have electrical outlets.
  • Each girl is responsible for her own personal hygiene.
  • Showers and flush toilets are available.
  • Kapers (camp chores) are a part of each day’s activity and help the girls develop a sense of responsibility and appreciation for keeping their camp neat and tidy.
  • Meals are provided three times a day and served in a central dining hall unless they are preparing a cookout in their unit.
  • Each day, girls spend time at a variety of activities and will work on badges.
  • The morning activities end with lunch followed by a rest period during the warmer part of the day when girls can write letters, read, or play board games.
  • Afternoons and evenings are filled with more activities, dinner, stargazing, campfires, and more!
Why do camp counselors sleep separately from the campers?

Camp counselors do not stay in the same cabins as girls to afford both girls and staff privacy. The practice also allows girls to develop a sense of independence. Counselors stay in cabins close by so your camper is always supervised and easy to reach in case of an emergency.

Can my camper choose her cabin/tent mate?

The cabin and/or tent your camper will sleep in is not preassigned. Girls will have the opportunity to choose their cabin and/or tent mate(s) at check-in. Staff counselors do their best to ensure girls are placed with their chosen cabin/tent mate(s).

Will I be notified if my camper is ill?

While we strive to prevent illnesses and injuries at camp, sometimes campers can get hurt or become sick.

  1. You will be notified of minor illnesses and injuries, such as blisters, scratches or cuts requiring a Band-Aid, minor sunburns, or insect bite at the end of the session for Camp La Jita.
  2. If your camper has an illness or injury that concerns the health supervisor or camp director, such as elevated temperature, vomiting, diarrhea, burns, sprains or a medical situation that may require your camper to be treated at a medical facility, you will be contacted immediately.
  3. If your child exhibits COVID-19 symptoms, caregivers will be notified to pick up child immediately for the health and safety of all campers and staff. The camper will need a negative COVID-19 test result, absence of fever for 48 hours, and absence of symptoms for 24 hours before returning to camp.
  4. Camp La Jita is served by Utopia Volunteer EMS and Uvalde Memorial Hospital.
How do you handle food allergies?

We are happy to offer accommodations for food allergies. Be sure your camper's food allergy is specified in her health information via CampDoc.com. If we are unable to accommodate her food allergy/ies, our staff will work with you to develop an appropriate plan. Before registering for camp, contact our Customer Care Department at customercare@girlscouts-swtx.org to discuss your specific requirements.

I didn’t receive a confirmation form or documents about camp. Where can I find them?

If you have registered and paid your deposit for a camp session and have not received an email from CampDoc.com within one to two weeks (be sure to check your Spam/Junk folders), please contact our Customer Care Department at customercare@girlscouts-swtx.org.

Can I visit my camper?

No. Visiting girls during camp sessions is not allowed. Parents and caregivers are encouraged to talk with staff at the time of your arrival or departure. Camp locations will be closed to visitors to adhere to GSSWT COVID protocols. Only campers and staff/vendors will be allowed in camp facilities.

What to Bring to Camp
  • Labeled water bottle with camper’s name and small backpack for camper’s belongings.
  • Extra pair of clothing for little emergencies.
  • Sunscreen if your camper will reapply through the day
  • Medications. All medications needed at camp must be administered under direction of the camp health supervisor. This includes aspirin, Tylenol, ointments, and vitamins, as well as prescription drugs. If your camper is taking medications to camp, they must be in the original container with the original prescription. The medication must be clearly marked with the camper’s name and the name of the medication. Each prescribed medication must be listed on the Camp Metro Medication Form (found in Important Downloads in CampDoc). All medications are to be given to the camp staff upon arrival at camp.

Camp staff will collect items that are not permitted and return them to girls at the end of the day.

What to Wear to Camp
  • Campers should wear their Camp Metro T-shirt daily. The T-shirt will be available for pick up when you arrive at camp Monday morning.
  • Comfortable and camp-appropriate shorts/pants/capris. Your camper may get dirty at camp, so keep the nicer garments at home.
  • Closed-toe shoes/sneakers with socks are preferred. No flip-flops or slide-on sandals.
  • Hat for outdoor activities.
Transportation

If you are unable to drop off your camper at the West Side Girl Scout Leadership Center, Girl Scouts of Southwest Texas provides transportation from the Sally Cheever Girl Scout Leadership Center (our north central office at 811 N Coker Loop) to Camp Metro daily at no additional cost.

Girls dropped off at the Sally Cheever center must arrive and check in no later than 8 a.m. and may be picked up there after 4:30 p.m. (arrival time may vary depending on traffic conditions). Transportation is provided by a professional and licensed bus service with trained drivers.

Drop-Off and Pick-Up

Drop-off and pick-up times vary by location.

Sally Cheever Girl Scout Ladership Center:

  • Drop-off is from 7-8 a.m. and check-out is from 4:30-6 p.m. daily.

West Side Girl Scout Leadership Center:

  • Pick-up is from 7-9:30 a.m., and check-out time is from 4-6 p.m. daily.

Before and After Care

Before and after care is included in the cost of each Camp Metro session at no additional cost.

Girls may be dropped off at either the Sally Cheever center or West Side center as early as 7 a.m. and need to be picked up no later than 6 p.m. each day. 

Please note: There will be a charge of $20 per 5 minutes for any camper not being picked up by 6:05 p.m. The first late pick-up will receive a warning. The second and beyond late pick ups will be charged the $20 per 5 minutes. If lateness becomes habitual, the camper may be removed from the camp (with no refund).

Meals Served

Breakfast is served from 8:30-9:30 a.m. Campers arriving by 9:15 a.m. will have the opportunity to eat breakfast.

Lunch will be served from 11:30 a.m.-1 p.m.

Lost and Found

Camp Metro is not responsible for personal belongings left at camp. All lost and found items will be housed at the West Side Girl Scout Leadership Center. All unclaimed items will be donated to charity on August 31, 2023.

Camp Metro activities take place Monday-Friday, 9 a.m.-4 p.m.

Campers start the day with breakfast and also are fed lunch and an afternoon snack. 

They spend the day having fun and making new friends, as well as getting hands-on experience and exploring skills in a variety of areas: community service, cultural arts, healthy living, environmental awareness, STEM, and so much more.

Because activities take place inside and outside, please apply sunscreen to your camper prior to their arrival.
